This Privacy Policy explains how ProfessionalOS (“ProfessionalOS”, “we”, “us”, or “our”) collects, uses, shares, and protects your personal information when you use the ProfessionalOS mobile app and related services (the “Service”). We are based in Australia and handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
The short version. We collect what we need to run the app and help you grow — your account details, the responses and notes you create, and basic usage data. We use trusted providers to host data, power the AI coach, and process subscriptions. We don’t sell your personal information. You can access, correct, or delete your data at any time by contacting contact@professionalos.ai.
1. Information we collect
Information you provide
- Account information — your email address and password (passwords are stored securely by our authentication provider and are never visible to us).
- Profile information — optional details such as your name and a profile photo.
- Content you create — your assessment responses and Professional Score, journal and reflection entries, saved insights, goals, and the questions or situations you submit to the AI Coach and Board of Advisors.
- Communications — messages you send us for support or feedback.
Information collected automatically
- Usage data — actions you take in the app (for example, completing a daily challenge or viewing the paywall), feature usage, and session information, used to understand and improve the Service.
- Device and diagnostic data — device type, operating system, app version, and crash or error reports.
- Subscription status — whether you hold an active trial or subscription (we receive this from the app stores via our subscription provider; we do not receive or store your payment card details).
2. How we use your information
- To provide, personalise, and maintain the Service, including generating your Professional Score and tailored coaching responses.
- To operate your account and manage subscriptions, trials, and billing status.
- To analyse usage so we can improve features, content, and performance.
- To diagnose and fix crashes and technical problems.
- To respond to your support requests and communicate important updates.
- To protect the Service against fraud, abuse, and security risks, and to comply with our legal obligations.
3. The AI Coach and your inputs
The Situation Coach and Board of Advisors features use a third-party large-language-model provider (Anthropic) to generate responses. When you use these features, the text you submit is sent securely to that provider to produce a reply. Please avoid including sensitive personal information (such as health, financial account, or government identifier details) in your coaching inputs. AI-generated guidance is for general informational and self-development purposes only and is not professional advice — see our Terms of Service.
4. Service providers we share data with
We use a small number of trusted providers to operate the Service. They process data on our behalf under their own security and privacy commitments, and only for the purposes described below. We do not sell your personal information.

We may also disclose information where required by law, to enforce our terms, or to protect the rights, safety, and property of our users or others.
5. International data transfers
Some of our providers store and process data on servers located outside Australia, including in the United States. Where your personal information is transferred overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
6. Data retention
We keep your personal information for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or de-identify your personal information within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.
7. Your rights and choices
- Access and correction — you may request a copy of the personal information we hold about you, and ask us to correct anything that is inaccurate.
- Deletion — you may delete your account and associated personal data at any time (see below).
- Analytics — usage analytics help us improve the app; you can limit some tracking through your device’s privacy settings.
- Push notifications — you can turn these off in the app or your device settings.
Deleting your account and data
You can request deletion of your account and personal data at any time by emailing contact@professionalos.ai from your account email address, or by using the account-deletion option within the app where available. We will action verified requests within a reasonable period.
8. Security
We take reasonable technical and organisational measures to protect your information, including encryption in transit and access controls that restrict data to your own account. No method of transmission or storage is completely secure, but we work to protect your information and to address vulnerabilities promptly.
9. Children’s privacy
ProfessionalOS is intended for adults and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you within the app. Your continued use of the Service after an update means you accept the revised policy.
